Privacy Policy

SwoleX LLC ("SwoleX," "we," "us," or "our") operates the SwoleX mobile application, website, account portal, trainer console, program marketplace, AI tools, social features, and related services (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you use the Service.


1. Information We Collect

Account and profile information:

  • Name, display name, handle, email address, phone number, authentication identifiers, and account status.
  • Profile photos, cover photos, bio, social links, website links, public trainer profile fields, and credentials you choose to provide.
  • Preferences such as units, notification settings, discovery settings, privacy toggles, equipment access, goals, and onboarding answers.

Fitness and training information:

  • Workout logs, exercises, sets, weights, reps, duration, distance, notes, PRs, training history, program enrollments, and completion data.
  • Fitness assessment answers, calibration data, strength estimates, cardio benchmarks, injury or limitation notes you choose to enter, and AI/training analytics.
  • Trainer-client relationships, assigned programs, invites, client progress analytics, and trainer notes that are shared with or intended for a client.

Content and community information:

  • Posts, comments, replies, reactions, tags, public workout shares, program descriptions, trainer bios, and other content you create or interact with.
  • Reports, blocks, moderation records, support requests, and communications with SwoleX.

Payment and business information:

  • Purchase, subscription, enrollment, promo, refund, chargeback, and billing status information.
  • For trainers and creators, Stripe Connect or payment-provider account identifiers, payout status, tax/compliance status, and revenue records. We do not store full payment card numbers.

Device, usage, and technical information:

  • Device type, operating system, app version, IP address, approximate location derived from IP, crash logs, diagnostics, and usage events.
  • Push notification tokens and notification interaction data.
  • Cookies or similar technologies on the website and account portal.

Information from your device, with permission:

  • Contacts, if you grant Contacts permission, so we can identify SwoleX users you may know. We use one-way hashed phone values for matching and do not store your full address book as plain contact records.
  • Photos or media, if you grant permission or choose files, for avatars, cover photos, posts, and program media.

2. How We Use Information

  • Create, authenticate, secure, and manage accounts.
  • Provide workout logging, program enrollment, trainer tools, analytics, and account portal features.
  • Personalize workouts, AI output, training analytics, equipment filtering, and program recommendations.
  • Enable trainer-client relationships, assigned programs, client progress review, invites, and trainer console workflows.
  • Process purchases, subscriptions, payouts, refunds, chargebacks, tax/compliance checks, and billing support.
  • Operate social features such as posts, comments, reactions, tags, follows, blocking, reports, and notifications.
  • Provide data exports, account deletion, support, safety, fraud prevention, debugging, and legal compliance.
  • Improve the Service through analytics, reliability monitoring, crash reporting, and product research.

We do not sell your personal information. We do not share your health or fitness data with insurers, employers, or advertisers.

3. Health, Fitness, and AI Data

Fitness data is used to power your training history, analytics, program progress, AI-generated workouts, trainer/client workflows, and social sharing choices. AI tools may receive relevant profile, equipment, history, and workout context so they can generate or analyze training content.

AI output and analytics may be stored with your account so you can review prior reports or programs. We may use de-identified or aggregated data to improve prompts, safety checks, catalog quality, analytics, and product performance.

4. Public, Shared, and Trainer-Visible Data

  • Public profiles, trainer profiles, published programs, public posts, public workout shares, comments, reactions, and tags may be visible to other users or unauthenticated visitors depending on the feature.
  • When you enroll in, subscribe to, or are assigned a trainer's program, that trainer may see program-related progress, adherence, session summaries, and analytics needed to provide training services.
  • Trainer notes shared with you or intended to be shared with you may be included in your account data. A trainer's private internal notes are not treated as your exportable personal notes unless shared with you or otherwise required by law.
  • Privacy toggles, blocking, report handling, and visibility settings may limit some discovery and social surfaces, but they do not make already-public content private retroactively in every context.

5. How We Share Information

  • Other users and visitors: We share content and profile data according to your actions, privacy settings, and feature visibility.
  • Trainers and clients: We share trainer-client data needed to deliver assigned programs, analytics, invites, and related services.
  • Service providers: We use vendors for hosting, authentication, storage, payments, app delivery, crash reporting, analytics, email, notifications, AI processing, and support. These providers process data on our behalf or as independent controllers where their terms require.
  • Payment processors: Stripe, app stores, RevenueCat, or similar providers may process payment, subscription, payout, tax, and compliance information.
  • Legal, safety, and fraud prevention: We may disclose information when required by law, legal process, safety concerns, fraud prevention, payment disputes, enforcement of our Terms, or protection of rights.
  • Business transfers: If SwoleX is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction.

6. Data Export, Access, and Deletion

You may request access to, export of, correction of, or deletion of your account data by using available account tools or contacting legal@swolex.com.

Data exports are intended to include account data associated with you, including profile data, workouts, programs/enrollments, comments you authored, public content where you were tagged, reaction summaries, and trainer notes shared with you. Exports may exclude another user's private notes, non-public moderation/security records, system secrets, legally privileged material, or data we must withhold to protect another person or comply with law.

Deletion requests are generally processed within 30 days, subject to retention needed for legal obligations, fraud prevention, accounting, tax, payment disputes, safety, backups, security logs, and legitimate business records.

7. Data Retention

We retain information for as long as needed to provide the Service, maintain your account, support trainer/client relationships, complete transactions, resolve disputes, comply with law, enforce agreements, prevent fraud, and maintain security. Public content may remain visible until deleted, removed, or de-identified. Backup copies may persist for a limited time after deletion.

8. Security

We use reasonable technical and organizational measures designed to protect information, including access controls, provider security controls, and transport security where appropriate. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Children's Privacy

SwoleX is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided information to SwoleX, contact legal@swolex.com.

10. Your Choices

  • Profile and account: You may update many profile and account fields in the app or account portal.
  • Discovery: You may adjust discoverability settings for phone/social discovery where available.
  • Contacts: You may revoke Contacts permission in your device settings.
  • Notifications: You may disable push notifications in device settings and manage notification preferences where available.
  • Public content: You may delete or change visibility for some content, subject to feature limitations and moderation/legal retention.
  • Trainer relationships: You may request unlinking from a trainer or enrolled program where supported, but historical records may remain for your account, billing, safety, or compliance purposes.

11. Third-Party Links and Services

The Service may contain links to or integrations with third-party websites and services, including YouTube, Stripe, app stores, AI providers, and authentication providers. We are not responsible for the privacy practices of third parties we do not control.

12. International Users

SwoleX is operated from the United States. If you use the Service from outside the United States, your information may be processed in the United States or other countries where our providers operate.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will update the "Last Updated" date above and, where appropriate, provide in-app, email, or website notice. Continued use of the Service after changes become effective means you accept the revised policy.
